How do I protect my company’s valuable information?

Data is one of a company’s most valuable assets and should be stored in a secure, off-site climate controlled environment that offers multiple levels of security. This security should include password protection, as well as varying levels of secured access to avoid unauthorized usage of your data. In addition, your information should be stored in a records center that monitors heat/humidity levels throughout the hardcopy storage areas, and within the vaults for offsite media protection.

What kind of people are accessing my company’s valuable data when I store my information off-site?
Answer:    Access to inventory stored at Fireproof is determined by your account’s authorizing personnel. You determine the stringent levels of access permitted at all times.

Does Fireproof offer climate-controlled storage for sensitive media?
Answer:  Yes, Fireproof owns and operates five (5) climate-controlled vaults that are designed to efficiently store different types of media. Each vault has a 4-hour fire rating, is constructed of concrete throughout the architecture: walls, floors and ceilings; and equipped with state-of-the-art Liebert temperature control units that control the temperature and humidity to meet ANSI (Association of National Standards Institute) standards for magnetic media storage. In addition, our vaults are equipped with fire suppression systems, and are monitored 24/7/365.

How will we store our tapes/cartridges?
Answer:  Fireproof offers two convenient options for storing media: by individual tapes/cartridges (slotted storage); or in cases specifically designed for media protection
  • Individually slotted cartridges. Media is placed in open slots, designed and built to visibly, safely and efficiently store media. When media is slotted, Fireproof is responsible for tracking the item numbers clearly identified on the exterior of the media. Clients request this type of media by the individual item number/name.
  • Active and archival cases. If a client chooses to store media in a container, the container will be assigned a unique name/number. The client requests retrievals based on the name/number of the container. At this level Fireproof does not know the contents of the container. Individual items (sub media) can be retrieved from containers, upon request.

Do you use barcode labels?
Answer:   Yes, Fireproof was one of the first in the country to utilize barcode technology to automate and track every movement of your media (data cartridges/tapes/cases).

Do you have pickup and delivery services?
Answer:   Yes, Fireproof is a full-service records center and can accommodate all of your pickup and delivery requirements. In addition, we guarantee a 90-minute response for RUSH deliveries and we provide after-hours service. Fireproof also offers faxing and mailing of records and emailing of digital images as alternative delivery methods.

How do we get started?
This is a simple three-step process:
  1. Contact us @ 614-299-2121 to order pre-printed barcode labels.
  2. Affix the preprinted labels.
  3. Call our Customer Service staff @ 614.299.2121 to arrange for a pickup

What if we need media that is in storage? Will you retrieve it for us and how fast can we have access to the information?
Answer:  Same day delivery is standard at Fireproof. If the request is made by 10:00 a.m. we will make the delivery by 5:00 p.m. Requests made after 10:00 a.m. will be delivered the next business day by 1:00 p.m. Our 90-minute guaranteed RUSH delivery service is available within Franklin County if items are needed with a faster response rate. In addition, regular scheduled runs can be set up to meet your individual needs.

Can we get a computer listing of our entire inventory?
Answer:   If you are storing your media in cases, you can simply go to www.fireproof.com and access your inventory online with your secured, assigned username and password.  If you are storing your media as individual tapes/cartridges, we can provide you with a report on CD, or via an email file.

How fast can we obtain our backup tapes in the event of a disaster?
Answer:  Fireproof is available to provide services 24 hours a day, 7 days a week, 365 days a year. In addition, we guarantee delivery within 90-minutes or less within Franklin County, if you are using our Rush or After-Hours service.

Do you destroy media?
Answer:  As a full-service information management company, Fireproof offers certified destruction services to all our clients.  All information is shredded according to industry standards either on-site at your location using our mobile truck, or at our secure destruction facility.

  • Have a disaster recovery plan
  • Review authorizations every 90 days
  • Change passwords and lock combinations periodically
  • Disaster Recovery Plan Survival Kit should be kept offsite with tapes
  • Exercise archive tapes
  • Microfilm/fiche should be stored in a climate controlled vault
  • Avoid using safety deposit boxes or taking tapes home
  • Always transport in locked cases designed for tape storage /transport
  • Data should be stored in 68°—70° and 45% relative humidity
  • Data should be protected by certified fire suppression system
