So to help answer your records management questions, here are Fireproof’s Top 5 Most Frequently Asked Records Management Questions.

1. How much storage space can we have?

Answer:  Whether it’s 5 boxes, or 50,000 boxes, Fireproof can accommodate your needs. We have over ½ million square feet of storage space, all geographically dispersed throughout four facilities located in central Ohio. To arrange a tour, call 614-299-2122 or email sales@fireproof.com.

 2. Can we use our own boxes for storage?

Answer: Yes, you may utilize your own boxes as long as they meet industry standards for strength, durability and size.

 3. Does Fireproof provide a computer listing of our entire inventory?

Answer: Absolutely. Upon request, we will provide a complete inventory report on CD or via e-mail.  Most of our customers prefer to use our free web access that allows you to retrieve your inventory online with your secured Fireproof username and password.

 4. What is a retention schedule and how does the schedule work?

Answer: A records retention schedule is a list of records for which predetermined destruction dates have been established. Retention periods are determined according to the organizational, governmental or archival value to the company. These values are determined by administrative, fiscal, legal, and historical record value. The retention schedule provides the guidance to destroy records when they have reached the end of their retention period.

 5. How do we know which files are due for destruction?

Answer: Fireproof tracks the retention schedule of your data in our database according to the destruction dates you have provided to us on the pre-printed barcode labels. Upon request, we will generate a list of boxes that have met their retention and can be destroyed, or you can access your own inventory online through our web access on our Customer Service page. Our process is accurate and cross-checked by our customer service team. Once you have completed a Destruction Authorization Form, our team will cross-reference the boxes with the destruction authorization, and we will retrieve and destroy the designated boxes. Information is never destroyed solely on retention dates; we require an internal cross-check and written authorization from every customer for every box, each and every time.

This year’s event, hosted by GBQ, is an evening of conversation and networking with Bob Greene, New York Times best-selling author, Columbus native and son of CMC founder Phyllis Greene.  The event will take place on Tuesday, June 1 at 5:30- 8:00 p.m. Cocktails and hors d’oeuvres will be served and business attire is recommended.

On Saturday, April 17, Greenovate will host Clean Out Your Basement (COYB), one of more than 100 worksites created for Earth Day ‘10: The Update, an ambitious three-day environmental awareness and service effort organized by Green Columbus. From 10:00 AM to 4:00 PM, COYB will allow Central Ohio residents to drop off (at no cost) items to be reused, recycled, or disposed of safely. COYB will take place in the Fireproof Records parking lot at the corner of N. High St. and E. 2nd Ave.

Accepted items:

Clothing, arts and crafts supplies, paper and pads, envelopes and folders, binders and dividers, office supplies, display materials, pens and markers, containers and storage devices, fabric and carpet, books and videos, seasonal items, documents for shredding and recycling, cell phones, inkjet cartridges, building materials*, tools, doors, windows, appliances.

*Excludes paint, used toilets, and single-pane windows.

Fireproof is pleased to announce “Five in Ten”; our plans in 2010 that will embrace our 100 year culture, with a continual focus on providing excellent customer service and most importantly, help you to find new and innovative ways to manage your documents in our changing economic climate.

Last year, Fireproof celebrated a major company landmark – we celebrated 100 years in the Columbus market. As we reflect back on our historic years, we have found that as a company, we have adjusted accurately, and continued to provide new and innovative ways for you to store your information. What might have started along the rails of High Street in the early 1900’s, has now grown to encompass a complete line of data protection services that can assist you each step of the way with your disaster recovery needs.

Now for our five key areas of focus in 2010:

1. Customer Service will continue to be our focus in 2010. Many of our customer service staff have been with us over ten years, and are proud members of our Decade Plus Club. You will find interesting stories about our service staff highlighted through our video and blog during 2010.

2. Electronic Medical Records/Electronic Health Records - With the new legislation, a migration to EMR is evident. We are on the forefront of this migration, and will continue to educate our customers on the stimulus requirements, and how to best navigate the EMR waters.

3. Document Imaging - This is where the future is going in our industry. Scanning services, web storage, and a variety of software solutions is where Fireproof has positioned ourselves to offer best-of-class imaging services to our customers.

4. Offering Hybrid Solutions - The way companies store and manage information can be a multi-faceted approach- there are many different service options. We hope to educate, inform, and spend the necessary time to get to know your company’s requirements. Sometimes, there are multiple cost-effective solutions to your data protection needs.

5. Celebrating 100 years is obviously important to us. But how will this service strength and longevity help our customers in 2010? With this being our 101st year in central Ohio, Fireproof hopes to educate you on our history, but more importantly, provide compelling tips during our 101st year in business through our educational series: “Fireproof Basics: 101”. This series will focus on industry requirements, education, and general information that will help you to make informed data protection decisions. These will be illustrated through blog posts, video series, and our on-site Lunch–n-Learn sessions and client orientations that will take place throughout the year.
