The scanner is the key player when it comes to entering your company’s information into the enterprise content management system. That’s why it’s important to choose one that is equipped to handle your needs. Here are a few things to consider before you shop.

How many documents will you scan on a daily or weekly basis?

By calculating these quantities, you can determine if you need a low-volume, mid-range or high-volume scanner. To help you select the best size for your needs, determine the number of pages to be scanned, the amount of time you have to complete the scanning job, and the number of staff members available to do the work.

What type of documents will you be scanning?

If the bulk of your work involves large, multiple-page documents, you’ll need speed to ensure greater efficiency. For smaller documents, a mid-size scanner will do. And if you’ll be scanning both the front and back sides of documents, you may need a duplex scanner to do the work, although most scanners today are capable of duplex scanning. An equally important issue involves the type and quality of paper you’ll be using. Is it 24-pound bond paper? Will you be scanning both large and small documents? Is your document in color or black and white? These are all important considerations.

Will you need high-quality images?

This could vary since some businesses simply need a record of the document while others require high-resolution images. The standard resolution for a business document is 200 dpi (dots per inch). If you require OCR (optical character recognition) for full-text searches, then 300 dpi is the preferred resolution. Higher resolution than this is generally neither required nor useful except in cases of photos or documents that need grayscale. Determine your current and future needs, and then select a scanner with adequate resolution and image type options.

The experienced professionals at Fireproof Records can assist you with the scanner selection process. Contact them today at (614) 299-2122 or visit www.fireproof.com.

On October 17th Fireproof took part once again in the Northland Community Shred Day and Food Drive event, hosted by the Northland Community Council at the YMCA North in Columbus, Ohio. This event is held twice a year and is a favorite with both the Northland community and the Fireproof Team! During these drives, the community is invited to bring documents that might expose them to identity theft if improperly disposed of to be shredded free of charge in exchange for a donation of three non-perishable food items. Participants can watch as their sensitive information is securely destroyed right on-site by Fireproof’s Shred-Smart mobile destruction truck, and shredded materials are 100% recycled. All food items are donated to the Mid Ohio Food Bank. So just by participating, attendees are helping themselves and their communities. On top of that, it’s always a lot of fun!

This year, despite unseasonably frigid temperatures (the high was only 47 degrees!) and clouds that lingered all day long, we had a remarkable turn out; proving once again that even in bad weather, Central Ohioans are generous and eager to get involved! In about four hour’s time, our dedicated Fireproof team and the enthusiastic NCC volunteers were able to collect approximately 7,000 pounds worth of shredded documents for recycling and 947 pounds of non-perishable food.

Wow! That’s more than twice as much food as we collected during the April drive!

According to our sources, these numbers represent:

More than 900 meals provided to Ohio families who might otherwise have gone hungry;

Approximately 43 trees, 950 gallons of oil and 17,500 gallons of water saved by recycling;

About 350 Central Ohioans protected themselves from becoming one of the estimated 8,800 people who will be victims of identity theft in Ohio in 2009.

We are so grateful to everyone who brought donations or volunteered their time! We would also like to thank NCC President Dave Paul for coordinating this effort and inviting us to participate, as well as the YMCA North, the NABA State Route 161 Task Force and the Ink Well Business Center who joined us in supporting this effort, and the Columbus Division of Police for their endorsement. You can do more to support Matt Habash and the Mid Ohio Food Bank team this holiday season by checking their calendar of upcoming events!

For 100 years, Fireproof Records Center has been active in the central Ohio community, providing safe, secure records management, data storage, imaging solutions and destruction services to more than 5,000 companies. It is an honor for us to participate in Northland Shred Days, and to be able to give back to our community through the Mid Ohio Food Bank. It’s our little way of saying “Thank You, Columbus, for choosing Fireproof!”
