<p><strong>Answer:</strong> Absolutely. Upon request, we will provide a complete inventory report on CD or via e-mail.  Most of our customers prefer to use our free web access that allows you to retrieve your inventory online with your secured Fireproof username and password.</p>
<p> <strong>4.</strong> <strong><em>What is a retention schedule and how does the schedule work?</em></strong></p>
<p><strong>Answer: </strong>A records retention schedule is a list of records for which predetermined destruction dates have been established. Retention periods are determined according to the organizational, governmental or archival value to the company. These values are determined by administrative, fiscal, legal, and historical record value. The retention schedule provides the guidance to destroy records when they have reached the end of their retention period.</p>
<p><strong> 5.</strong> <strong><em>How do we know which files are due for destruction?</em></strong></p>
<p><strong>Answer:</strong> Fireproof tracks the retention schedule of your data in our database according to the destruction dates you have provided to us on the pre-printed barcode labels. Upon request, we will generate a list of boxes that have met their retention and can be destroyed, or you can access your own inventory online through our web access on our <a href="http://www.fireproof.com/service.html">Customer Service page.</a> Our process is accurate and cross-checked by our customer service team. Once you have completed a Destruction Authorization Form, our team will cross-reference the boxes with the destruction authorization, and we will retrieve and destroy the designated boxes. Information is never destroyed solely on retention dates; we require an internal cross-check and written authorization from every customer for every box, each and every time.</p>

			<content:encoded><![CDATA[<p>When preparing your records for offsite storage it is vital to organize them properly. Here are a few tips to assist you during the packing process. These tips will simplify organization and allow for easy retrieval when you request a stored document.</p>
<ol>
<li>Select the correct size box for the records.  8 1/2 x 11 paper should be stored in a <a href="http://www.fireproof.com/products.html">standard record storage box</a> (10” x 12”x 15”).</li>
<li>Do not pack hanging files (Pendaflex) in a box to be stored offsite.</li>
<li>Review the retention policy annually.  Follow the retention policy for storage and destruction.</li>
<li>Store records with like retention periods in the same box.</li>
<li>Records should be in an organized format.
<ol>
<li>Alpha</li>
<li>Numeric</li>
<li>Chronologic</li>
<li>Terminal digit</li>
</ol>
</li>
<li>Be sure all the tabs on the file folders are facing the front of the box.</li>
<li>Be consistent when using box numbers and/or prefixes.</li>
<li>Be consistent in the description of the contents and include the year.  If the year is the most important searching factor, begin the description with the year (using 4 digits YYYY). 
<ol>
<li>Example:  2009 Accounts Payable <strong><em>OR </em></strong>2009<strong><em> </em></strong>Accts Pbl <strong><em>OR</em></strong> 2009 A/P</li>
</ol>
</li>
<li>Assign authorized personnel to have online access and access to the records at your offsite facility.  Be sure to update the authorization list at least annually or when there are changes in personnel.</li>
</ol>

<p>During the session, attendees listened to a presentation from Joe Dickman, Senior Consultant for Fireproof. Topics discussed ranged from HITECH Acts and the American Reinvestment and Recovery Act, and included incentives and benefits of electronic medical records. Guests also enjoyed a facility tour and lunch provided by <a href="http://www.spinellisdeli.com/">Spinelli’s Deli</a>.</p>

<p>As of 2006, less than 10% of hospitals had a fully integrated system and less than 21% of office-based physicians were using electronic medical record (EMR) systems in 2008. Is your practice ready for the <a href="http://www.fireproof.com/blog/2010/06/is-your-medical-practice-ready-for-the-emr-mandate">EMR mandate?</a></p>

<p>Is your practice eligible for stimulus money?</p>
<p>If your practice is office-based, and you are a medical doctor, optometrist, podiatrist, chiropractor, osteopathic physician or dentist treating Medicare or Medicaid patients, then you may qualify to receive the incentive. To receive the payments, you will also need to show meaningful use of a certified EHR system.</p>
<p>Meaningful use of a certified EHR system will be defined by the Centers for Medical and Medicaid Services (CMS) in three stages. Stage one focuses on electronically capturing health information in a coded format, using that information to track key clinical conditions, communicating that information for care coordination purposes and initiating the reporting of clinical quality measures and public health information. CMS will define the criteria for stages two and three at a later date.</p>
<p>In addition, the Public Health Service Act—section 3004(b)(1), as added by the Health Information Technology for Economic and Clinical Health (HITECH) Act, requires the Secretary of the Department of Health and Human Services (HHS) to adopt an initial set of standards, implementation specifications, and certification criteria to enhance the interoperability, functionality, utility, and security of health information technology (HIT). Any EHR system must be certified prior to implementation based on federal and state guidelines.</p>
<p>To enforce this bill, Kathleen Sebelius, Secretary of the Department of Health and Human Services, has a presidential mandate to oversee and strategically manage the implementation and compliance of electronic health record (EHR) systems nationwide. </p>
